PLANNING YOUR LIBRARY

Take a few moments to consider how your library should be structured for maximum speed in use

You have complete control over the way your item library is structured. This means you can arrange your library section and subsections in a way that reduces the work required to find and select library items as you price a job.

We recommend that you take a few moments to consider how work is carried out by your company. For example if you are a general building company you may want to have a library for each of the trades you supply. If on the other hand you are a specialist ceiling fitter, you may want to have a library for each type of ceiling you install.

You can of course change your library structure at any time (after all companies change all the time). You can delete, copy or move items around your library as you see fit. This includes within and between Sections and Subsections.

Tips

  1. Remember that you have 3 levels of data in the library structure - Library name (e.g. Roofing), Section (e.g. Flat Rooves) and Subsection (e.g. Wondaseal System). Consider how this fits your business
  2. If you expect your library to be relatively small (say 100 items), then you may in fact require only one library, possibly with only one Section and several Subsections. Only you can decide what the optimum structure would be for your company
  3. Try and strike a balance between the number of structures you create and the number of items in each. If you have more than 30 items in a Subsection or more than 20 Sections in a Library you may want to consider splitting them further
  4. To select a group of items for copy/move, drag the mouse over them or click on a column heading to select all
